EN voucher Hecstar
Preamble
Card readers with cash function create, when the money is or can not be filled completely, a credit note instead of returning the rest of the money in cash. In the case of a Hecstar card reader (Hectronic) a credit voucher with barcode is being printed at the card reader, which can be cashed later at the same card reader by using the barcode reader. With this "voucher administration" the status of the vouchers (issued and cashed at the card reader) can be stored and evaluated in Autopoll after the polling of the fillings from the card reader. Against the information when the vouchers were firstly implemented, nowadays several vouchers, instead of only one, can be used within one filling at the card reader. Vouchers, which have been issued externally, will just be registered when cashed at the card reader and the voucher information is being polled together with the corresponding fillings.

To gain the full validity a voucher has to fulfill certain requirements in form and content:
* the voucher has to be presented in written form,
* the voucher amount or the service has to be named explicitly,
* the voucher issuer has to be evident and
* the voucher expire date has to be named on vouchers which are related to a certain issuing.''
general validity of a voucher
In general a voucher expires after three years. This because normal civil claims expire (according to §§ 195, 199) after three years. The situation with vouchers cannot be handled different, because issuing a voucher is based on a purchase or service contract. If no expire date is mentioned on the voucher, the statutory rules apply, that means the title on the voucher expires in three years. The limitation periode starts at the end of the year in which the voucher title was originated (purchse or issue of the voucher). Example: If a voucher was issued in April 2014, the limitation periode starts with the 31st of December 2014 and ends with the 31st of December 2017 (if it is a working day).

"A shorter deadline is permitted. It concerns the general terms and conditions, which are according to § 307 only valid, when the voucher entitled person is being inadequately disadvantaged against the principle of equity and good faith."

Extensions
The extension of existing individual filling- or invoicing-exports by the vouchers is with costs and will be invoiced on a time basis.
Settings
Voucher products
For the correct processing of vouchers in Autopoll, the two products "91 Gutscheine ausgeben" (issue a voucher) and "92 Gutscheine einlösen" (cash a voucher) have to be registered in Autopoll. The product numbers 91 and 92 are essential.
Voucher assignment
For a better display and as a preparation for the possible export of vouchers within an existing data export, it is recommended to enter a company and a vehicle, e.x. "Barcode" or "Voucher", and assign this vehicle-company-combination to a card (card type allocation), which is only used for the assignment with the card identification "V%".
Complete voucher process
The amount paid cash at the card reader is or can not be filled completely. So the customer gets a "barcode"-voucher with the remaining amount. The card reader creates and stores a cash filling with the additional information/data of the issued voucher (voucher identification number). During the polling of the filling, the cash filling is stored normally in Autopoll, but for the voucher a separate voucher booking is being made with the product "91 Voucher issued". With the next filling the customer uses the above issued voucher as payment at the card reader. The card reader again creates a cash filling with the additional information/data of the cashed voucher (voucher identification number). During the polling of that filling, the cash filling is stored normally in Autopoll, but for the voucher a separate voucher booking is being made this time with the product "92 Voucher cashed". So a cash filling can be made by using cash and/or issued or cashed vouchers, but in Autopoll it is always a cash filling. The voucher bookings are only additional information.
Display
The voucher bookings can be displayed and edited in Autopoll under Data-Other Movements.
Report
Filling list
With the normal filling list, the vouchers can be reported by selecting only the products "91 Gutscheine ausgeben" (issue a voucher) and "92 Gutscheine einlösen" (cash a voucher).
Additional reports
It is planned to implement an additional report with the selection options "issued and cashed at the card reader", "issued at the card reader but not cashed" and "issued externally and cashed at the card reader".
Hint
The menu item "Tank-Gutscheine (Hecstar)" is not being used anymore and should be deactivated and hidden.
